Click the + icon in the lower left corner of the screen to add a signature. Double-click Untitled, and then type a name for the signature. This name does not appear in the signature in your messages, it is only for your reference. If you just want to change an existing email signature, select the signature you want to edit. This guide takes you step-by-step through the process of setting up a new email account in Outlook 2016 for Mac.

Note: This guide defaults to IMAP and No SSL.
Replace example.co.za with your domain name
Check your password
- First, check your password by browsing to Webmail and trying to log in. If you aren’t able to log in, then you have the incorrect password. Forgotten passwords can be reset in konsoleH – you will need to get your domain or web administrator to update it for you if you don’t have konsoleH access.
Add your mail account
- Launch Outlook for Mac
- Select the Tools tab and then Accounts
- A new window will open which will list any other accounts already set up
- At the bottom left, Click the ‘+‘ button and then New Account…
- Add your email address and click Continue
- The programme will unsuccessfully search for the provider. Select IMAP/POP
Enter your account information
- Choose IMAP or POP according to your preference.
- Ensure that the User Name is the full email address in lower case.
- If you don’t know your password, reset it via konsoleH.
- Incoming server
- add mail. before your domain name
- Untick Use SSL to connect (If SSL is required, see Enable SSL for Email)
- Outgoing server
- add smtp. before your domain name
- Untick Use SSL to connect (If SSL is required, see Enable SSL for Email)
- Change the port number from 25 to 587
- Click Add Account
- Click Done
- You’re not quite done yet:
- All settings should be correct on this screen – now choose More Options
Further Outgoing server settings- Authentication: Use the dropdown arrow to select User Name and Password
- Enter in your User name (full email address) and Password
- Ignore Unqualified domain
- Click OK

Inspecting the source code of an email in Outlook
You can start with looking at what and how others do. When you see an email in you Outlook’s Inbox that draw you attention you can easily inspect its 'guts' – the source HTML code. In order to do this in Outlook 2013 (Microsoft Office 2013), open the email of your interest and click through Actions → Other Actions → View Source as shown in the following picture:
The HTML source will open in a Notepad window as shown in this picture:
Developing HTML code for emails
You can inspect that HTML code, explore, modify, and save it. You can also develop your own HTML code. Essentially, you develop HTML code for email the same way as you develop a webpage. There are, however, some rules for developing HTML pages for embedding them into Outlook email.
Outlook HTML rules
If you do not follow these rules, the inserted HTML code will not look right in the Outlook. So here are the rules:
- All links and images must use absolute URLs. Using relative URLs, something like
<img src='images/myimage.jpg'>
will not work, you have to use full URL like<img src='https://www.somedomain.com/images/myimage.jpg'>
. - Do not use external CSS files for styles; use either embedded CSS that is placed in the
<head>
section of your HTML, or inline CSS. Avoid using background images in your CSS. - Do not use Javascript in HTML as it only works in web browsers, not MS Outlook.
- Outlook supports most, but not all HTML tags and attributes, so be warned.
Embedding HTML into Outlook email
When your HTML webpage is ready, you can embed it into Outlook email by clicking New Email → Attach File:
Then navigate to your HTML file, select the file (highlight it), and from the Insert drop-down box select Insert as Text:
Voila! - Outlook embeds your HTML file into the email body.
